For us at Lidingöloppet, it is important that you feel secure in providing your personal information to us. Lidingöloppet follows the laws and regulations of the data protection ordinance and is therefore very careful to ensure that your information is handled correctly and securely.

If you do not accept our privacy policy, unfortunately, you cannot participate in our races.

We reserve the right to transfer our rights and obligations to another party for parts of the competition procedure. See continuation below.

To register, you must be at least 18 years old. If you are under 18, you must have a guardian's approval to enter into an agreement with the Association.

Personal data is any kind of information that can identify an individual. It can be details such as name, phone number, social security number, address, email address, pictures, or videos.

Where do we get the personal data from?

Lidingöloppet has obtained them from you as an individual when you have given consent (before May 25, 2018) or when you have given consent during an expression of interest, registration for a race, or registration for events organized by Lidingöloppet (after May 25, 2018).

Why do we collect personal data?
-Identification and age verification
-Maintain accurate and updated information
-Ensure that you have registered and paid for your starting place.
-Enable you to access your personal registration and result history.
-Establish and publish registration and result lists for all participants before, during, and after the races.
-Be able to award prizes to winners of these either through placement in results or by drawing.
-To be able to make a correct starting group seeding in the races that have this.
-Produce, for example, correct equipment for participants in the races, such as bib numbers.
-Ability to contact you or a relative before, during, and after the race (e.g., through evaluations).
-To offer personalized service including photography, results, and insurance.
-Send the participant's personal orders such as pictures, diplomas, Folksam's exercise race insurance or Folksam's large exercise race insurance, Racefox.
-Nationality is collected so that we can distinguish who needs to fill in a Swedish social security number, and to keep statistics on the number of participating countries.
-Social security number/age, gender, location are collected to keep accurate statistics from the different races.
-Gender is collected because we have a race that is exclusively for women.
-Communicate with participants who take part in a race, before or after a race.
-To be able to market our races, events, products, and services.
-Our customer service should be able to communicate with the customer and answer questions via phone, email, or other channels (e.g., social media).
-Be able to make an identification.
-Develop our services to be more user-friendly and improve services such as website, events, products, and offers.
-To prevent, deter, and investigate misuse of a service.

The bases are legitimate interest, balancing of interests, fulfillment of purchase agreements, and public interest. The processing is necessary to serve your and our interest in managing and administering your participation and to be able to satisfy our interest in marketing our events and services.


What is the Lidingöloppet register?

Leopard Database
(order management, basic data for newsletters, registrations, and result lists)

Category of personal data
Name, address, gender, social security number, race, event, race and event statistics, previous results, payment information, contact details of a relative, team membership, club membership, any notes from the participant.

Purpose
To handle participants' registrations, to link a participant with their previous statistics and/or to create new statistics.

Legal basis
Through consent from the participant. Fulfillment of a purchase agreement. Legitimate interest that is necessary for participants to be able to participate and for Lidingöloppet to be able to conduct events and competitions.

Storage
Lidingöloppet stores the information in accordance with the Accounting Act.


Photography and filming

Category of personal data
Photos and videos

Purpose
To market our races and events via website, advertisements, social media, newspaper articles, through partners' advertising for races or events

Legal basis:
Balancing of interests. Public interest

Storage
Lidingöloppet saves photo and video recordings from the races.



Printed materials

Categories of personal data
Name, Postal Code, City, Country, Gender, personal ID according to Lidingöloppet's runner database, images, year of birth.

Purpose
To inform, market our races, events, products, and services through Invitations, Entry Confirmations, Feature Magazines.

Legal Basis
The data subject has given consent at registration, legitimate interest, and public interest.

Storage
The Lidingöloppet's supplier prints information, addresses, and sends postal mailings according to address details provided at consent.


Digital Mailings

Categories of personal data
Email address, Name, Year of birth, Postal code, City, Country, Gender

Purpose
Such as newsletters, competition information.
To inform, market our races, events, products, and services.
To be able to offer information that we believe is interesting to you, Lidingöloppet's partners may in some cases have access to Lidingöloppet's address register via Lidingöloppet. Lidingöloppet does not share information with our partners or sponsors. Sponsors and partners of Lidingöloppet may send offers through Lidingöloppet. It is possible to unsubscribe in the mailings.

Legal basis
The data subject has given consent at the time of registration. Legitimate interest and general interest.

Storage
Lidingöloppet updates the data and removes information older than 3 years after consent has been given to the above Runner Database.


Customer surveys, Questback

Categories of personal data
Email address, Name, participating events, bib number, gender, and other information relevant to the event.

Purpose
To collect feedback from the runners to improve the various arrangements of Lidingöloppet.

Legal basis
The data subject has given consent at the time of registration.

Storage
Lidingöloppet continuously cleanses the register in the form of de-identification.

Enervit

Categories of personal data
Race, date of birth (YYMMDD), name, address, nationality, payment date, race, product type.

Purpose
The Lidingöloppet establishes registers with personal data of the participants who have chosen to purchase the Enervit package. These registers are sent to Enervit to report who has purchased the product. Enervit, in turn, contacts the buyer to fulfill their part of the buyer's purchase agreement of the product.

Legal basis
To fulfill the participant's purchase of the supplier's product. The data subject has entered into a contract upon purchasing the product.

Storage
The data is stored at Lidingöloppet according to the rules of the Accounting Act.
Enervit stores the data until after the current year's race. Thereafter, it is deleted.

Racefox

Categories of personal data
Name, bib number, nationality, race, class.

Purpose
Lidingöloppet creates a register of personal data for participants who have chosen to purchase the Racefox package. These registers are sent to Racefox to report who has purchased the product. Racefox, in turn, contacts the purchaser to fulfill their part of the buyer's purchase agreement of the product.

Legal basis
To fulfill the participant's purchase of the supplier's product. The registered individual has entered into an agreement upon purchasing the product.

Storage
The information is stored at Lidingöloppet according to the rules of the Accounting Act.
Racefox stores the information until after the current year's race. Thereafter, it is deleted.


Folksam's exercise race insurance and Folksam's large exercise race insurance

Categories of personal data
Social security number, name, address, nationality, payment date, race, product type.

Purpose
Lidingöloppet establishes registers with personal data of the participants who have chosen to purchase Folksam's exercise race insurance and Folksam's extensive exercise race insurance. These registers are sent to Folksam to report who has purchased the insurance.

Legal basis
The registered has entered into a contract upon purchasing the product.

Storage
The register is kept at Lidingöloppet in accordance with the Accounting Act

Who is allowed to access my personal data?

To provide services and offers to you as a participant, such as newsletters, photography, film, Start certificates, insurance through Folksam, Enervit packages, Racefox, and to make your registration and timekeeping searchable, we use subcontractors. For research purposes, Lidingöloppet shares certain data with individual research projects and institutes.
Lidingöloppet is the data controller for your personal data, which means that we enter into Data Processing Agreements with our subcontractors. The agreement specifies how they are allowed to process your personal data. They do not have the right to disseminate the data and must delete the data when it is no longer needed for the assignment. Lidingöloppet does not sell, disclose, or share the information with unauthorized parties.

How long do we keep your personal data
Your personal data is kept by us for the period that you are a participant with us and the time required by the accounting law for us to fulfill legal obligations required by the accounting law. In marketing purposes, information older than 3 years is not used. High security is always observed in all handling of personal data.

Your rights
You have the right to access your data, to have it corrected, completed, or if you wish, to have it deleted. If you choose to delete all your data, all previous race statistics and race history will be deleted. Read below about your rights.

Right of access
You have the right to request access to your data, a record extract. If we receive a request for a record extract, we will ask for additional information, if required to fulfill the request. This is to ensure that the identity of the person making the request matches the participant for whom the record extract has been requested. This is so that we provide the information to the right person. The request is sent by emailing the request to info@lidingoloppet.se. We will respond to you by email within 30 days of the request.

Right to rectification and completion
You always have the right to request that your personal data be corrected if the information is incorrect or to complete any incomplete personal data. If we receive a request for rectification or completion, we will ask counter-questions to ensure that the identity is the same as the participant for whom rectification or completion has been requested.

Right to erasure and to withdraw consent
You have the right to request the erasure of your personal data that we process. If you choose to delete all your data, all previous race statistics and race history from all the events organized by Lidingöloppet will be deleted.
You also have the right to withdraw your consent. If you withdraw your consent, you unfortunately cannot register for the event you chose at the time of your given consent.

There may be reasons for us to not be able to accommodate your request for erasure. This if there are legal obligations that prevent us from carrying it out. It could be to fulfill a legal obligation that we are subject to, for example according to the accounting law, if the data is needed to exercise our right to freedom of expression and information, or to establish, assert, or defend legal claims.

Right to restriction
You have the right to request that the processing of your personal data be restricted.
For example, you can object to direct marketing and profiling for direct marketing purposes to you. If you object to direct marketing, we will cease all types of direct marketing and profiling to you.
You can choose to be anonymized (participant Anonymous) in our public lists such as Registered participants and Result lists.

We at Lidingöloppet reserve the right to update our Privacy Policy. This is because we develop our races, events, services, and products and therefore need a Privacy Policy that corresponds with new races, events, services, and products.
